2.2.3 Record on school Activities
Record according to Mbiti, (1972) are also usually kept in the school to show the types of activities in operation during the year. Notable among the community found records on school activities are:
a. The school leg book
b. Annual examination result records
c. Lesson plans
d. Records on school mail
e. Staff committee minute books
a. The School Log book: This school log book is like a diary where daily activities of the school are recorded. It should be well written and properly kept in a safe place. In most cases, the school log book is usually in possession of the principal, as well. Written school log book should provide full information on absent teachers and the reasons given by the teachers concerned. It should also reflect the date of return to work as well as the condition that may be attached to such return if in the case of ill- health. Similarly, the school log book should contain important events that happened during the year, such as; concert, play, football matches, parents teachers conferences, and school debates. It should also include the visit of eminent personalities to the school, such as; the governor, an Oba, or ministry officials. In a nut-shell, the school log book, if properly written and well-kept can be referred to as the school history book which can serve to people a reference material.
b. Annual Examinations Results Records: Since the purpose of every established academic institution. It to monitor the progress of its pupils hence a record showing the annual results of students in school becomes of prime importance. It is the responsibility of the school principal to request from his teachers a complete academic record of each student in their respective classes. This may be referred to the students. Transcripts should be made available for use by the principal whenever the need arises.
c. Lesson Plans: Every classroom teacher must keep up to date record of what he/she teaches. This record, otherwise known as lesson plan, must be geared towards fulfilling what the syllabus require the students to learn. The lesson plan should always be kept in school by the teacher.
This is necessary in case the teacher is absent. It will enable the substitute teacher to know what to teach the student during the absence of the regular classroom teacher weekly lesson plan, in order to ensure that the teacher is following the syllabus and also to avoid unnecessary break down of teaching during a teacher’s absence.
d. Records on school Mails: Matters on various subjects are usually communicated to the school authorities, in order to facilitate action, it becomes necessary to open files on a subject matter relating to the school. The files should be properly numbered, referred and kept in the file cabinet. Information on every subject matter must be immediately forwarded to the appropriate quarters, and action should be taken as soon as necessary. It is the responsibility of the file clerk to make file on every subject matter available upon requests.
e. Staff/ Committee Minute Book: This is a record showing whatever is being discussed at every meeting to staff or appointed committee. It is usually written by an appointed member of staff called the secretary and amendments if any, will be made by members before moving for adoption. Once of the adoption of minutes are made, it is believed that the members have agreed to the minutes as the correct version of what was discussed or deliberated upon by the members during the last meeting. Such minutes thus becomes a permanent record of the school and should be kept in a safe place
2. Significant of Records in Senior Secondary Schools
School records form empirical base for assessing school performance and budget evaluation. Importance of records as a store house of information to students, teachers and administrators is stressed by (Ogbonnaya 2005),When he observed that records are kept for the purpose of assessing school performance and budget evaluation. The records will assist the teachers even principals on the necessary school information needed to record for office use. Consequently of records keeping will help them Shum the falsification of school data.
The result of keeping records in senior secondary schools will assist teachers to appreciate their Important position in school records management. This will therefore motivate them to cooperate with the principals in documenting the reliable data for professional growth and quality delivery in school. It is most likely that falsification of data will be minimized, issue of ghost workers and sometimes half – hazard retrieval of information among principals and staff will be drastically reduced, and teachers will be more committed to their work thus, yielding improved and productive personnel to the society.
